Refund & Cancellation Policy

Bay Crest Children's Summer Program 2026

This policy applies to all registrations for the Bay Crest Association Children's Summer Program 2026. By registering and submitting payment, you acknowledge that you have read and accepted these terms.

Cancellation by the Family

Refunds for voluntary cancellation are issued according to the schedule below. All cancellation requests must be submitted in writing to the program coordinator at patti@baycrestcamp.com. The cancellation date is the date the written request is received, not postmarked.

Refunds for Medical or Family Emergency

Refund requests due to documented medical emergency (with a physician's note) or immediate family emergency may be considered outside the standard schedule at the discretion of the program coordinator and association board. Such requests should be submitted in writing as soon as the situation is known.

Cancellation by Bay Crest Association

In the unlikely event that the program is cancelled in whole or in part by Bay Crest Association (including but not limited to weather emergencies, public health restrictions, facility unavailability, or staffing issues), affected families will receive a pro-rated refund covering all unused weeks.

Single-day closures (weather, lifeguard shortage, etc.) do not qualify for a refund as they are considered part of normal program operation.

Tennis Program Add-On

Tennis enrollment refunds follow the same schedule above. Tennis fees are non-transferable to the general program if tennis instruction is cancelled but the main program continues.

Payment Method Refunds

Refunds are issued via the original payment method:

No-Shows

Children who do not attend their registered weeks for any reason other than those covered above are not eligible for a refund.

Transfers

Registrations may be transferred to another eligible child in the same household at no cost, with at least 7 days notice in writing. Transfers between households are not permitted.

Disputed Charges

Families experiencing billing issues should contact the program coordinator before initiating a chargeback with their card issuer. Most disputes can be resolved directly within 1–2 business days.
